Record a Bill Accounts Payable
Enter a vendor bill when you receive it. On accrual basis the expense is recognized on the bill date (routed to the chosen fund) and the open balance shows as Accounts Payable on the Balance Sheet. On cash basis the bill is invisible until you mark it paid.

Due from a Member Receivable — asset
Record money a member owes the community (an advance, a misapplied draw, an expense the HOA fronted on their behalf). On accrual basis the open balance shows as Due from Members under Other Current Assets on the Balance Sheet. On cash basis it isn't shown (cash omits receivables, like A/R). This is not income — it has no P&L effect.

A/R Aging Summary
Owner balances from issued assessments, net of payments, bucketed by age. Projected or scheduled dues never appear here — until assessments are issued, nothing is owed and nothing is late.
Dues Reconciliation
Every unit's issued assessments for one period — who has paid, who hasn't, and what's unmatched. "Record payment" logs a cheque or cash receipt with no bank deposit needed.
Reconciliation applies to formally posted assessments. Nothing is posted, so there is nothing to reconcile — who has paid and who is short is in Dues Coverage above.

Online Dues Collection (Stripe)

Let owners pay assessments online via card or ACH. Funds flow directly from owner → HOA's Stripe → HOA bank account. Owners cover the processing fee so the HOA always receives the full assessment.

Free Payment Options (Zelle / Venmo)

No processor fees on either side. Owners send via their bank's Zelle or their Venmo app; the board confirms receipt when the deposit lands. Configure the handles you want to accept; leave blank to hide.

QuickBooks Online

Connect this community's QuickBooks company and we'll mirror your chart of accounts, categorized transactions and reports into ManagedWell. The mirror is read-only — we never create, change or delete anything in QuickBooks. You can disconnect at any time, which revokes our access and deletes the stored credentials.

Checking your QuickBooks connection…
Chart of Accounts Rename or hide accounts — display only

Customize how your accounts are labeled and which ones appear in category menus. This is display only: renaming an account never changes your stored transactions, the underlying accounting, or reports' totals — only the label you see. Hiding an account removes it from the menus for new categorizations; any transaction already using it keeps it. Clear a label or un-hide to restore the original.

Financial Defaults Surfaces in the P&L, Balance Sheet, and Annual Budget

These values appear as estimated lines in the P&L until you record actual transactions, and feed both the Annual Budget and the Balance Sheet. Set what you know — they update everywhere automatically.

Amount billed each billing period — see "Billing frequency" below
How often dues are billed. Affects KPI tiles and assessment labels.
Balance Sheet inputs — CASH — money actually sitting in an account. Used when no labeled bank account covers the line.
Cash in the reserve account. Fallback if no account is labeled Reserve. Not the fund's equity — that is "Reserve fund equity" below.
Cash in the special-assessment account. Fallback if no account labeled Special Assessment.
Premium paid in advance for future months
Unpaid vendor invoices
Owner payments received for future months
Equipment, vehicles, equipment buildings — sum of original cost. Leave blank if you don't track these.
Enter as a negative number (e.g. -19000). Leave 0 if you don't track depreciation.
Goal for the dashboard reserve progress bar (from your reserve study).
Fund equity — carried forward — what the association OWES each fund. A different number from the cash above.

Your accountant's balance sheet carries each fund as an equity account — the accumulated obligation, including money raised before these books begin. Enter it here and the P&L shows opening balance + this period's activity = closing balance for each fund, and compares it against the cash designated for that fund so the board can see whether the fund is funded. Leave a field blank if you don't know it: blank means not on file, which is not the same as $0.

From the equity section of your balance sheet. Can be negative if the fund is genuinely overspent.
The date that balance was true. Usually the day before your ledger here starts. Required if you enter an amount.

Shown on the P&L so a board reading a restated fund balance knows where it came from.

Owner Credentials

Every owner gets a unique random password, generated automatically when you add them or import a roster. We recommend each owner change it on first login.

ManagedWell does not support a shared community password. One password shared across a community means that when a single owner passes it on — or leaves — every owner's account is exposed, and there is no way to tell who actually signed in.
